We’re looking for a new Office Coordinator to join our team. 

Are you an office superstar, who's in the know about doing business and what's hot in Auckland's CBD? We’re passionate about making the Auckland city centre a great place to work and play, by championing its success and representing the many businesses within it, as well as keeping people updated on the best things to do and places to go.

We’re looking for an Office Coordinator to ensure the smooth running of this vibrant and creative office. A passion for organisation and efficiency is essential. 

What you'll love about the role:
  • You will be the first point of contact for all enquires within Heart of the City
  • Providing administration for the Board including preparing agenda's, minutes, and organising the annual AGM within required timeframes
  • Financial administration including collation and coding of invoices, reconciliations, preparation of monthly account payments and petty cash
  • Supporting the CEO including correspondence, diary and meeting management, and event coordination 
  • Supporting our members including enquires, database maintenance, events, and communications 
  • Responding to requests for activity like filming and street trading to ensure that the city works for business, and supporting key projects like StoreWatch
  • Providing support to the wider team when necessary
  • Ensuring the office is kept clean/tidy and well stocked with supplies
  • Generalist administration duties including: mail, couriers, supplier contracts, health and safety functions and ensuring organisational policies and processes are followed.
What we'll love about you:
  • Minimum of 3-4 years in an office management/administration role
  • Knowledge of basic accounting principles including AP/AR and reconciliations
  • Excellent attention to detail
  • High level of verbal and written communication
  • Organised and able to work independently 
  • Advanced computer skills and experience using Xero is desirable
  • You will also be motivated and enthusiastic to take on extra responsibilities and most importantly, you're not afraid to take ownership for your work.
